Event Coordinator's Pre-Season Notes

Our new event coordinator Garry Woodland has put together some important informtion that team leaders should be aware of.

Registration of Teams process & Registration on the day

  • Rally support early (now!) and start to get commitments for the years events well ahead of time
  • Register your team online (if not already done so)
  • Register teams for each event as early as possible – helps us with venue setup & catering, etc.
  • No late registrations taken – Tuesday night close-off (as in previous years)
  • Teams can consist of members + friends (min 4 & max 9 riders per team)
  •  Members $50 (incl. GST) and have comprehensive insurance + other member benefits
  •  Friends $65 (incl. GST) with no insurance or member benefits
  •  Obviously more members the better – makes for a much stronger organization
  • New online Register-Now payment system -  Register team and pay for whole team, or  Register team and team members pay individually. “No Refund policy” becomes less of an issue
  • Team start times are seeded – this year by experienced Cycling WA handicapper (John Smith)
    - 7:30am - Registrations open
    - 8:30am - Team Managers Briefing
    - 9:00am - Event start
    - +30sec - time intervals
     

 Role of the Team Managers

  • Organize team on the day (incl. arranging suitable meeting point)
  • Collect & distribute Registration Pack (i.e. timing band, team rider numbers
  • One timing band per team (suggest to be worn by team manager)
  • Attend Team Briefing and relay info to team members:
      - Course route & any other details (e.g. specific hazards on the course)
      - Reinforce ride protocols, safety & road rules
      - Managers need to assume some responsibility and manage the team out on the road
      - Motorbike Marshal will be in attendance at each event to ensure safety
      - Obey all Marshals (better to say thanks rather than criticize or abuse)
      - Don’t draft – needs to be clear team separation for safety reasons
  • Get your team to the line on-time (and try to avoid congestion at start & finish)
  • St Johns Ambulance 1st Aid Post at each event – any accidents to be reported back asap
  • Return complete Registration Pack (i.e. timing band, & all team rider numbers)
      - Replacement bands cost us $130 and will be charged back if lost
      - Pickup & distribute lunch vouchers
      - Fill-out nominations for awards
